Efficient Warehouse Organization Helps Keep the Customers Happy

A poorly organized, inefficient warehouse layout can cost an HVAC distributor time and money. Consider making some changes to help the warehouse run better. 

Perhaps you think it wouldn’t be cost-effective to totally change up the warehouse, that it would cost thousands of dollars in time and labor, but a properly laid out warehouse can pay for itself in a short period of time. 

The most important thing to consider in designing any warehouse plan is safety. 

 

Prioritize Safety 

Make sure that the space is safe for employees and customers alike. This means leaving enough room in the aisles to maneuver a forklift and conduct business in the safest manner possible. 

I caution everyone to keep this in mind when looking at your warehouse space. You need to think about the type of traffic that will be inbound and outbound, and how everyone can maneuver safely and efficiently. 


Design Shipping and Receiving 

Examine your overall space to decide where you want your shipping and receiving. You should have dedicated space laid out so that you can easily receive incoming product, and you should have plenty of open bays for outgoing deliveries. 

Streamlining these operations is essential in maximizing the profitability of your warehouse. The separation helps in managing the flow of goods more effectively and reduces the chance of mixups and delays.

Minimize Retrieval Time  

Focus on creating a space that requires the fewest steps for warehouse personnel when they’re pulling materials for customers. 

If your business is centered around new construction, for example, you want to make sure you have all the materials needed for a rough-in close to the delivery bays so that warehouse personnel don’t have to travel all over the warehouse to pull a job. If it is taking your warehouse staff 30 minutes to pull a job and you are able to cut that time to 18 minutes per rough-in, then you can see how a reorganization could pay for itself. 

A good rule is to organize the warehouse based on how frequently different products are sold, with the items that are most in demand placed in a way that minimizes the time it takes to retrieve them. 

A well-run warehouse gets talked about among HVAC contractors, and they know where to go when they need something quickly. Reorganize and you can develop a reputation as the go-to supply house for quick and easy pickups, just like other supply houses might be avoided due to long wait times at the counter or in the warehouse. 

I have been in plenty of warehouses where it takes forever for someone to find some elbows. If you do not have everyday items at the ready, then you are truly in need of a warehouse overhaul. 

 

Eliminate Slow-Moving Stock 

If you want to have a well-run warehouse, you must make sure that someone is specifically assigned to this important task. It needs to be the responsibility of one person, or even a team of people, but you must have a warehouse champion. 

You need someone who can work with your marketing and sales department so the non-stock items that need to be moved are being advertised at an extreme discount to get them out of the warehouse. If you are bringing on new product, you must make sure to eliminate the old stock first or have a solid plan to do so in place. 

The amount of money that gets written off at the end of each year due to dead stock is staggering. Make sure that you have a champion of this cause — someone who drives this process. 

 

The Stopwatch Test 

To test whether your current warehouse needs more attention or even a complete makeover, have your staff pull a job and time them with a stopwatch, then determine whether rearranging the space could save time in pulling the same job. If your store does hundreds of deliveries per year and you save 10 minutes per job pulled, you can easily see how it would be worthwhile to rearrange the warehouse. 

In addition to these key points, it’s important to regularly review and adjust the warehouse layout based on changing needs and demands. 

Continuous improvement and adaptation to new technologies and processes can further enhance the efficiency and the safety of your warehouse operations. By implementing these strategies, your business can achieve a well-organized, safe, and efficient warehouse environment that supports your overall goals and objectives.
