AI Helps Food Retailers Navigate Refrigerant Regulations

Now is the time to embrace technologies that automate core compliance processes

EPA COMPLIANCE: Food retailers must comply with a whole host of new refrigerant regulations from EPA.

The AIM Act and updated EPA regulations mark a pivotal moment for refrigerant compliance across the U.S. food retail and manufacturing sectors. These rules -- demanding granular refrigerant tracking, proactive leak management, and audit readiness by 2026 -- require companies to move beyond manual processes. At HelloFresh – a leading meal kit provider -- we view this regulatory evolution as an opportunity to lead a transformative shift, harnessing AI, IoT, and automation to redefine operational excellence.

 

New Approach Needed

Historically, compliance relied on paper logs, spreadsheets, and ad hoc inspections. Under today’s EPA framework, these methods introduce unacceptable risks: untracked leaks, audit gaps, and invalid data for assets and refrigerant events. As an industry leader with emissions targets, HelloFresh recognized the need to pioneer a more robust, scalable approach.

In Facilio, we found the technological backbone for our compliance efforts. Our collaboration with Facilio delivered an integrated Refrigerant Compliance platform within our enterprise facility solutions. By building on asset registers and field workflows, we automated these critical compliance tasks:

  • Guided leak event logging: Mobile forms capture service details that are immediately validated against EPA criteria, with discrepancies flagged in real time. These forms also improve information capture from our service providers and validation by FM leads;
  • Instant compliance metrics: Refrigerant asset leak rates and emissions data are recalculated automatically upon each data update, replacing days of manual consolidation and improving our tracking process; and
  • Proactive alerts and notifications: Technicians and FM teams receive timely reminders for upcoming inspections and non-compliance events, enabling swift corrective action.

This end-to-end automation has reduced our compliance administration by over 50%, specifically in the reduction of person-hours lost on manual tasks and data aggregation, allowing our teams to focus on proactive maintenance and strategic initiatives. In addition, we found the 24/7 customer support, customizable platform, user-friendly interface, and mobile capabilities to present a robust solution that would grow with our needs. Ultimately, this level of embedded automation has converted compliance from a potential liability into a true catalyst for operational excellence.

Facilio’s platform now works in harmony with HelloFresh’s existing systems, linking refrigerant records, maintenance schedules, and energy analytics into a single, unified dashboard. This consolidated view makes every asset’s compliance status immediately visible and keeps critical data flowing seamlessly across teams. By embedding compliance workflows directly into our daily operations, we’ve moved from fragmented data silos to a cohesive, enterprise-wide perspective on regulatory performance.

The benefits extend well beyond administrative efficiency to include:

  • Minimized disruption risk: Continuous oversight lowers the chance of EPA-mandated inspections, ensuring uninterrupted compliance; and
